PROFESSIONAL SERVICES

Let your experts move the work forward, not hunt for information.

In agencies, consultancies and law offices, AI does not take the place of expert judgement. It keeps the quote, the project status, the source document and the client sign-off on one line; the decision stays with you.

01 / WHERE TIME IS LOST

Where does time go in this industry?

We make the repeating losses in Professional Services visible before anyone picks a tool.

  1. 01

    QUOTE PREPARATION

Similar scopes are written from scratch every time. The old quote, the meeting note and the current terms are hunted for in different places.

  2. 02

    CLIENT SIGN-OFF

Revision and approval rounds run in an email thread. Which version is current gets lost.

  3. 03

    STATUS REPORT

Task information is gathered by hand for the weekly report and told again from the start.

  4. 04

    ACCESS TO INFORMATION

Contracts, briefs, decisions and old correspondence stay tied to people or to knowing the right folder.

  5. 05

    TIME RECORDING

The link between the work done and the project record is made late. When the reporting period comes, records are filled in after the fact.

02 / EXAMPLE FLOWS

We describe the system to be built, not the problem.

The scenarios below are representative. They are not real customer data; they summarise the operating picture we see often at this size.

01REPRESENTATIVE SCENARIO

The quote production line

SITUATION
The discovery note, old quote examples and scope decisions sit in separate folders. Whoever prepares the quote writes the same information again.
WHAT IS BUILT
The Meeting to Quote module draws a scope draft from the discovery note, citing its source. The Knowledge Assistant brings only approved quote blocks; price, legal terms and anything going outside do not move without an authorised approval.
HOW IT IS MEASURED
The time from the discovery record to the first draft, and from there to the approved send, stays in the quote log. So do the edits made to the draft and the fields sent back because information was missing.

02REPRESENTATIVE SCENARIO

The weekly client status report

SITUATION
The project manager gathers finished work, pending decisions and risks by hand from team messages. Preparing the report pushes other work aside.
WHAT IS BUILT
CRM Orchestration ties project records to standard status fields. The Knowledge Assistant builds a report draft only from source tasks and approval records; the project manager checks it and shares it. The Management Cockpit makes the reporting flow visible.
HOW IT IS MEASURED
How long the report took to prepare, and which items had no source, show in the task records. So do the open items waiting on client approval.

03REPRESENTATIVE SCENARIO

Tracking approval rounds

SITUATION
File versions and client comments stay in separate email threads. The team tracks by hand which version is waiting for approval.
WHAT IS BUILT
The Lead Hub matches incoming comments to the right project and version. The Follow-up Engine prepares a message draft for a pending approval; sending happens with a person's approval. CRM Orchestration keeps the approval status in one record.
HOW IT IS MEASURED
How long approvals wait, and comments that arrive against the wrong version, are followed from timestamps. Open rounds that need chasing show there too.

04 / INDUSTRY FAQ

Let's clear up how this works for Professional Services.

See the decision limits, how we work with your current tools, and how data moves — before discovery.

01

Does AI produce expert opinion or legal assessment?

No. The system reaches source information, creates drafts and follows the workflow. Expert opinion, legal assessment, pricing and the final content going to a client stay with the approval of an authorised person.

02

Can it work with different project management tools?

Which tools serve as sources is decided in discovery. The aim is not to load another screen onto the team; it is to close the gap between task, document and message systems.

05 / NEXT STEP

Let's find the first bottleneck in your Professional Services operation together.

We listen to the real workflow, the tools you use and the approval points that matter. Then we put the first buildable scope in writing.
