The candidate pre-review assistant

SITUATION
Application documents arrive in all sorts of shapes. The HR team reads every record from the start to find the role's basic requirements. The evaluation criteria can change from person to person.
WHAT IS BUILT
The Lead Hub gathers applications into one record. Lead Intelligence extracts information only against pre-approved, job-related criteria, and shows its source. The system does not screen out candidates and does not produce a final ranking by score; the review and the decision sit with the HR team. Protected characteristics are not used as decision inputs. The evaluation log is kept auditable.
HOW IT IS MEASURED
Waiting time in the review queue stays in the process log. So do records returned to a person for missing information, and changes to the criteria. Success is not measured by how many candidates were screened out automatically.

02REPRESENTATIVE SCENARIO

Interview scheduling automation

SITUATION
A time that suits the candidate and the interviewer is found over email. On any change, the calendar, the candidate message and the internal record are each updated separately.
WHAT IS BUILT
CRM Orchestration keeps which stage the candidate is at. The Follow-up Engine writes a message draft from approved time slots. It updates the calendar record only after a person approves; changes stay in the same candidate history.
HOW IT IS MEASURED
The time from the start of scheduling to a confirmed appointment stays in the calendar log. So do rescheduled interviews and candidate records with no reply.

03REPRESENTATIVE SCENARIO

The onboarding checklist

SITUATION
For a new employee, accounts, equipment, training and introductions run on the lists of different owners. A missing step comes out on the first day.
WHAT IS BUILT
Starting tasks are tied to one checklist with their owner and order. The Follow-up Engine reminds the right role about pending work; the Management Cockpit shows open and finished items. Opening access and granting permissions require an authorised person's approval.
HOW IT IS MEASURED
Tasks finished before the start day, and steps that got blocked, stay in the task history. So do access requests reopened later.

Does the system screen out candidates automatically?

No. The system can only extract orderly information from pre-approved criteria belonging to that role. Candidate evaluation, the interview and the final decision sit with the Human Resources team. No one is screened out automatically on the basis of protected characteristics.

How is candidate data kept separate?

For every build, access roles, retention periods and the deletion process are set out in writing. Only the data the process needs is handled; data from different clients is not merged into a shared pool.
