The document collection assistant

SITUATION
Missing invoices and receipts are listed by hand, client by client. The reminder history stays in someone's own inbox or message app.
WHAT IS BUILT
CRM Orchestration opens a document checklist record for each client. The Follow-up Engine writes a message draft for the missing items; the message goes out with an authorised approval. An incoming document is tied to the right record from the Lead Hub.
HOW IT IS MEASURED
The time from the first request to the document being tied to the record stays in the task log. So do documents asked for again and those still open at period end.

02REPRESENTATIVE SCENARIO

The reconciliation reminder chain

SITUATION
The person who sends the reconciliation and the person who follows the reply are different. A disputed or unanswered record is hunted for again as the close approaches.
WHAT IS BUILT
Reconciliation status sits in standard fields in CRM Orchestration. The Follow-up Engine writes a reminder draft for an unanswered record. A reply that carries a dispute does not close on its own; it goes to the review queue of the person responsible.
HOW IT IS MEASURED
The time from sending to reply stays in the activity log. So does how long unanswered and disputed records waited, and which ones were sent again.

03REPRESENTATIVE SCENARIO

The close-out checklist

SITUATION
Period close tasks are tracked in personal files. When one job runs late, the tasks that depend on it and the management screen are not updated together.
WHAT IS BUILT
Each close step gets an owner, a source and the approval it needs. The Follow-up Engine reminds the right role about pending work. The Management Cockpit shows finished and blocked steps; the team decides whether a figure is right.
HOW IT IS MEASURED
When tasks finished, and which checks were reopened, stay in the list history. So do the steps waiting on another job.

No. The system organises the document, the task and the approval history. Financial interpretation, whether a record is correct, the regulatory assessment and the final decision stay with the authorised expert.
